Job Summary

The Property Manager shall have a daily oversight of all our residential and commercial real estate and shall take responsibility for day-to-day repairs and ongoing maintenance, security, and upkeep of properties; ensuring daily operations of our properties with exceptional customer service, maximum occupancy, and revenue growth.

 

Key Responsibilities

Property Operations

  • Manage daily property operations, including maintenance, repairs, and renovations.
  • Supervise on-site staff, including maintenance technicians, janitors, and artisans.
  • Ensure compliance with safety protocols, regulatory requirements, and company policies.
  • Conduct regular property inspections to identify and address potential issues.

 

Leasing & Marketing

  • Develop and implement leasing strategies to achieve maximum occupancy.
  • Manage rental rates, lease renewal agreements, and tenant retention.
  • Coordinate marketing efforts, including advertising, social media, and events.
  • Build relationships with current and prospective tenants.

 

Financial Management

  • Manage property budgets, including operating expenses and capital expenditures.
  • Analyze financial reports with the Finance Manager and supervisor, identifying areas for cost reduction and revenue growth.
  • Ensure timely rent collection, accounts payable, and accounts receivable.
  • Prepare and submit monthly occupancy reports with feedback to the supervisor.
  • Prepare bi-annual tenant expenses for each property.

 

Tenant Relations

  • Provide exceptional customer service to tenants, responding to concerns and resolving issues promptly.
  • Foster positive relationships with tenants, ensuring high satisfaction and retention.
  • Coordinate tenant events, meetings, and communications.

 

Other Responsibilities

  • Ensure compliance with fair housing and rental laws and regulations.
  • Maintain accurate records, including tenant files, leases, and property documents.
  • Collaborate with the construction team on new developments and renovations as well as prospective tenants visits to the construction site.
  • Participate in emergency preparedness and response planning.

 

Key Performance Indicators

Occupancy Rate

  • Target: Maintain an occupancy rate of 95% or higher
  • Metric: (Number of occupied units / Total number of units) x 100

 

Rent Collection

  • Target: Collect 100% of rent on time
  • Metric: (Total rent collected / Total rent due) x 100

 

Property Maintenance

  • Target: Complete 90% of maintenance requests within 24 hours
  • Metric: (Number of maintenance requests completed within 24 hours / Total number of maintenance requests) x 100

 

Tenant Satisfaction

  • Target: Achieve a tenant satisfaction rating of 90% or higher
  • Metric: (Number of satisfied tenants / Total number of tenants) x 100

 

Budget Management

  • Target: Manage the property budget within 5% of projected expenses
  • Metric: (Actual expenses / Projected expenses) x 100

Minimum Requirements

  • Postgraduate or Master’s degree in Real Estate, Business Administration, Project Management, or a field relevant to the specific department in the organization.
  • A minimum of 5-10 years work experience as an Assistant Property Manager or similar role.
  • A PMP (Project Management Professional) certification, Certified Associate in Project Management, Certified Property Manager (CPM) or Accredited Residential Manager (ARM) designation etc is required.
  • Excellent verbal communication, and the ability to convey important information clearly and effectively.
  • Minimum 3 years of property management experience, preferably in residential and commercial properties.
  • Proven track record of increasing occupancy, revenue growth, and customer satisfaction.

  • Proficient in property management software (e.g., Odoo, Yardi, AppFolio).
  • Knowledge of fair housing laws, regulatory requirements, and safety protocols.

Conditions of Service

PREBBiE Properties  shall be responsible for the provision of transport, office support and other material requirements to facilitate the work of the Property Manager. The job holder shall be assessed based on the KPIs. Other conditions of service can be found in the Talent Handbook.
