Job Summary

The Senior Finance & Procurement Associate shall be responsible for supporting the financial and procurement functions of the company in order to promote success and growth while ensuring accurate and legal financial practices. The job holder’s duties shall typically include financial reporting, maintaining compliance with tax and regulatory requirements. The Job Holder shall be required to support the procurement operations in line with the company’s policies..

Key Responsibilities

General Financial Oversight

  • Develop, implement, and monitor financial strategies, policies, and systems that align with organizational goals.
  • Manage and implement comprehensive financial plans and budgets for the organization and its departments.
  • Conduct monthly, quarterly, and annual budget reviews, ensuring compliance with approved budgets and assisting department managers with budget management.
  • Manage cash flow, ensuring the availability of adequate resources for operations.
  • Provide financial guidance to managers and other talents.

 

Accounting & Financial Reporting

  • Prepare accurate financial reports, including income statements, balance sheets, and cash flow forecasts.
  • Prepare and review financial statements (balance sheet, income statement, cash flow) with supervision from the Head, Finance & Procurement.
  • Analyze financial performance, identifying areas for improvement.
  • Develop and maintain financial dashboards.

 

Procurement & Vendor Management

  • Design and implement procurement policies that ensure cost-efficiency, transparency, and timely sourcing of goods and services.
  • Manage relationships with vendors, negotiate contracts, and maintain a database of approved suppliers.
  • Establish procurement planning aligned with project timelines and budgetary constraints.
  • Oversee the procurement process, from tendering to contracting, ensuring compliance with organizational requirements.

 

Compliance & Risk Management

  • Ensure compliance with statutory regulations and laws including Social Security & National Insurance Trust and Ghana Revenue Authority for PAYE.
  • Ensure all financial and procurement activities comply with local and international legal, regulatory requirements. Conduct regular risk assessments and recommend adjustments to reduce operational risks.
  • Establish and monitor internal controls to mitigate financial and procurement risks. Maintain internal control procedures with clear directives from the Head, Finance & Procurement.
  • Ensure the implementation and enforcement of financial policies.

 

Audit Reporting

  • Oversee financial audits and implement findings to improve financial integrity and compliance.
  • Collaborate with internal and external auditors on audit activities to ensure accurate compliance.
  • Collaborate with internal and external auditors.

 

Administration

  • Perform other relevant tasks as assigned by the line manager and GCEO.

 

Key Performance Indicators

Finance and Procurement Planning and Analysis

  • Target: Develop and implement 4 strategic finance and procurement plans annually 
  • Metric: Number of strategic financial plans submitted a month before the new quarter. 

 

Budgeting and Forecasting

  • Target: Achieve 90% accuracy in budget forecasts. 
  • Metric: (Actual Budget Expenditure − Forecasted Budget Expenditure/ Forecasted Budget Expenditure) × 100 

 

Monthly Financial Statements

  • Target: 100% on-time delivery of financial reports by the 15th day of the ensuing month. 
  • Metric: (Number of Reports Delivered on Time/ Total Number of Reports) × 100
  • Requirements: Income Statement, Statement of Financial Position and Statement of Cash flow 

 

Cost Savings Management

  • Target: Identify and achieve 10% cost savings annually.
  • Metric: (Cost Savings Achieved/ Total Costs) × 100 

 

Risk Management

  • Target: Mitigate 95% of identified financial risks.
  • Metric: (Number of Mitigated Risks/Total Identified Risks)×100 

 

Procurement Planning

  • Target: Develop and implement 100% of procurement plans annually.
  • Metric: (Number of Implemented Procurement Plans/ Total Planned Procurement Activities) × 100 

 

Supplier Management

  • Target: Achieve 90% supplier satisfaction rate.
  • Metric: (Number of Satisfied Suppliers/ Total Number of Suppliers)×100

 

Contract Management

  • Target: Ensure 100% compliance with contract terms.
  • Metric: (Number of Compliant Contracts/ Total Number of Contracts)×100 

 

Inventory Management

  • Target: Maintain inventory levels at 95% accuracy.
  • Metric: (Number of Accurate Inventory Records/ Total Inventory Records)×100 

 

Quality Assurance

  • Target: Ensure 98% of procured goods meet quality standards.
  • Metric: (Number of Goods Meeting Quality Standards/ Total Procured Goods)×100 

 

Payroll Management

  • Target: Prepare and submit payroll for approval
  • Metric: Report submitted by the 26th day of every month 

 

Monthly Bank Reconciliation

  • Target: 1 per month by the 5th day of the ensuing month
  • Metric: Number of bank reconciliations by set deadline. 

 

Compliance Rate

  • Target: 100%
  • Metric: Percentage of compliance with safety protocols.

Minimum Requirements

  • Bachelor’s degree in Finance, Accountancy, Banking or equivalent qualifications.
  • More than 5 years of business finance or relevant experience in medium or large enterprise is a MUST.
  • A professional certification Chartered Accounting Bodies. (CA, CIMA, CFA, ACCA, CPA, or equivalent).
  • Experience in handling a full set of accounts is preferred.
  • Knowledge of IFRS (International Financial Reporting Standards) and GAAP (Generally Accepted Accounting Principles).

  • Computer literate and familiar with Excel spreadsheets and PowerPoint.
  • Proficiency in Microsoft Office, IFCA.net, SQL, etc.
  • Good command in written and spoken English.
  • Enthusiastic, integrity, transparency, accountability, passionate, disciplined and meticulous.
  • Responsible, independent, positive working attitude and able to work in a team.
